Emails to RGS Staff that may be spam will be held in Personal Quarantine to enable you to review these and forward or delete. You can also manage your own Block and Safe lists.
A quarantine summary will be emailed to you at 8am and 2pm listing the spam emails - see example below.
This provides a quick summary of emails placed in spam since the last email or since you reviewed the emails via the web page (further details below). From this screen you can choose to forward or delete.
Any messages that you choose not to forward or delete will remain in the Personal quarantine for 30 days and will then be automatically deleted.
Forwarding an Email
If you deem an email to be safe and wish to read this email then click the forwarding icon.
A confirmation screen will confirm this email will be sent to you and the email address will be automatically added to your Safe List.
Deleting an Email
If an email is clearly spam or just not required then you can click the delete icon.
Managing Multiple Spam Email
If you have multiple emails to review then you can view and manage these via a web browser.
At the bottom of the daily email you will see the following:
The 'Click Here' option will take you to the web page. Alternatively please visit https://fortimail.rgsw.org.uk
The following screen will be displayed. Login using your RGS email address and password.
Once logged in, you can review an email within this screen in order to judge if the sender and or content are safe before releasing the email to your account.
To review an email, simply click the Sender name or Subject line. This will open the message for review. You can then choose to Release or Delete.
In the example below, three emails have been selected. At this stage I can choose to click Release which will forward to your account or Delete.
Block Lists and Safe Lists
If you receive regular emails which appear in your spam list, you can choose to add them to a Block or Safe list. Select one or more emails then click More at the top of the screen. You can choose to add these to your personal Block or Safe list.
Managing your Personal Lists
You can review your personal Block and Safe lists at any time.
Once you have logged on, click the icon below which will be in the top right corner of your screen then click Preferences.
Under the Antispam Management heading you can select Block or Safe to review the email addresses that you have added to other list. Once selected you can select and remove addresses from these lists if required.
